Traditional Data Protection
As a consultant, Giacobbo’s clients have an expectation that information shared during the course of a project is held to a high standard of security. This is becoming as important a consideration for how electronic data is managed and Giacobbo recognized that its traditional backup measures weren’t sufficiently meeting this expectation. “Relying on our old methods of managing back-up didn’t make sense,” says Giacobbo. “The frequency of back-ups did not follow an established routine and we often only backed up our data when we felt we had the time to do it.”

Previous back-up strategies included burning data onto CDs, but the regularity with which this was done, coupled with no safe storage strategy, motivated Giacobbo to seek out other options. “When I realized my last back-up had been done over a year ago, I knew I had to find a better way to protect my company’s data,” says Giacobbo. “That’s when I called on StorageASP.”

YMCA of Hamilton/Burlington - St. John O'Neill, System Administrator

St. John O'Neill is the System Administrator for the YMCA of Hamilton-Burlington. With the YMCA serving over 40,000 people through various programs in the region, O’Neill is responsible for the maintenance and protection of huge volumes of data that support these activities.
As an existing StorageASP customer, O’Neill was pleased to learn that TERA business assurance services was a tool that could help him achieve his data security objectives. O’Neill talks about the impact TERA Service has had on how the YMCA manages data.

Traditional Data Protection

O’Neill outlines the importance of data security and management to the YMCA’s operations. “We’re talking about data from human resources, financial data, our membership and fundraising systems,” says O’Neill, “In short, we’re talking data that is mission critical to our daily activities.”
Before implementing TERA Business Assurance Services, O’Neill and his team relied on more traditional and time-consuming back-up strategies. “Our process involved backing up databases to hard disk arrays and then to DAT tape nightly. Vital servers were also backed up to DAT tape nightly,” says O’Neill. “Our staff took home the tapes at the end of the day for off-site storage. There were too many steps involved.”

Although the process was automated to the point of DAT tape exchange and off-site storage, O’Neill knew that this time-consuming process to support a burgeoning volume of data was not a sustainable solution. That’s where TERA Service came in.

While the YMCA doesn't require "instant-on" failover in the event of catastrophe, the new TERA Service process offers an extra safety net. The YMCA can now restore their data within one hour over Fibre network if necessary. “The secure off-site service and guaranteed recovery features protect against fire/flood/theft better than our previous process,” points out O’Neill. “Since our data centre is located in an older building that is open to the public, these considerations become even more important.”
Implementing TERA Service resulting in a number of value-added features that O’Neill’s old back-up methods didn’t offer. In addition to the process being completely automated and almost eliminating the need for tape back-ups, the SQL Server databases are now backed up "live" and the server system state data is now protected.

“We’re looking to extend TERA Service protection to desktop user data for complete protection,” says O’Neill. “I don’t worry with TERA Service. I know my critical data is protected.”

“Like many companies, our risk management and business continuity strategies around data protection were carried out internally before we started using TERA Service,” says Kalirai.  “The challenge with that approach was two-fold for us: First, we lacked the required expertise. Second, we discovered issues with compliance and consistency. The procedures we had in place were not always adhered to, and that is something that can cause you to lose sleep. We needed a better way.”

Turnpike’s story is a common one.  Many businesses are quickly finding their capacity to manage information is not enough given the unprecedented volumes of data companies are creating.  As a result, businesses scramble to implement solutions that are often ad-hoc and heterogeneous, creating a new set of problems around capacity and compliance.

Michael Hiltz, Manager of Computer Services for the Hamilton Wentworth District School Board (HWDSB) has a lot to manage – over 8000 desktop and server systems across 130 schools and sites within the Hamilton region. As an established StorageASP customer, the TERA Service products were a natural fit when it came to implementing business continuity solutions for Hiltz and his team. One year after putting TERA Service into practice at the HWDSB, Hiltz talks about the impact TERA Service has on their operations.

Traditional Data Protection

The sheer volume of data, multiple site locations, and sensitivity of HWDSB information present a daily balancing act for Hiltz. Prior to implementing TERA Service, the HWDSB relied solely on a traditional disk-to-tape backup system. “Tape backups just became unmanageable,” says Hiltz. “Our data is growing at unprecedented levels and, as a result, this back-up process became too resource-intensive to make sense for the board. Operator intervention was required at many levels, the human resources requirements were growing, and when we did a cost-benefit analysis it just didn’t add up.”

With the HWDSB’s traditional data protection solutions, tapes had to be stored offsite, and in the event of data loss, the process required to locate and restore the correct data was complex. Compounding the problem was the reality that tape back-ups weren’t always reliable. They needed a better solution. That’s where TERA Service came in.

After a year using TERA Service, Hiltz is thrilled with its impact. “TERA SErvice provides real-time online backup that requires very little operator intervention. Data management and recovery is automated and practically instantaneously available for recovery,” says Hiltz. “If we lose data now, we can restore it more efficiently and keep our operations running smoothly.”

Hiltz points out that the landscape is changing rapidly when it comes to how data must be managed. “One of the results of having such a high speed network infrastructure is the unprecedented access to information it affords. The need to manage who can access our data is critical.” Hiltz is charged with protecting access to confidential student records, financial information, and the records for all schools across the region. “Today, our information resources are just as critical to us as traditional resources,” says Hiltz. “We have to protect our data with vigilance to ensure the security of our information, staff and students."
